Specification Gap & Ambiguity Register

Twenty-four gaps and ambiguities identified during specification production. Each one is logged, owned, routed to the appropriate designer or tenant rep, and closed before the package issues. The seven open at end Wk 3 are tracked in the table below.

SG-01
Joinery oak veneer — species, grain match and finish grade
RESOLVED
Gap: Outline architectural spec called for "fluted oak veneer" without specifying European or American oak, grain match (book-match vs slip-match) or finish grade. Quote requests would have varied by ±£8,000 across these variables.
Resolution: European Oak, book-matched, AA-grade with hard-wax oil finish (matt). Sample issued by Trenholme to Cushman 12 May 2026; sign-off received 14 May.

TENANT-BLOCKED
Gap: AV scope structured as £40k provisional sum at award. Tenant IT (N. Bramwell) has not confirmed display sizes, video conference platform (Zoom Rooms vs Teams Rooms) or whether ceiling mics or table mics are required. Without this, supplier enquiry cannot issue.
Status: Workshop scheduled with N. Bramwell + AV specialist (Visualis Ltd) for Tuesday 20 May 2026. Direct dependency on Stage 03 enquiry timing; if not closed by end Wk 4, AV package detaches from main pre-con and flows in parallel with construction Wk 1.

DESIGN INTENT CAPTURE

Design Intent — The "Why" Behind the Spec

Specifications describe what gets built. Design intent records why. For tenant-facing items — reception, meeting suites, tea points, finishes — capturing intent makes downstream decisions defensible: when a supplier proposes a substitute, we know whether it serves the intent or only the spec.

DI-01
Reception arrival — first 15 seconds
L6 reception must read as Wexley & Crowne — calm, considered, distinct from a generic Cat-A office lobby. Arrival to receptionist contact in under 15 seconds without doubling back. Brand visible without dominating.
BrandWayfinding
SPC-A7Captured 8 May
DI-02
Meeting suite acoustic privacy
Legal sector privilege requires that no client conversation is audible from the corridor. Acoustic separation from open plan, glazed partitions with film at standing height, doors specified for privacy seal. The design test: a passing colleague cannot hear named-client information.
AcousticPrivacy
SPC-A2Captured 8 May
DI-03
Tea points as collaboration zones
Tea points serve more than coffee. They host informal client introductions and partner-trainee mentoring conversations. Booth seating, soft lighting, acoustic ceiling treatment. Visible from open plan but not overheard.
CollaborationAcoustic
SPC-A4Captured 8 May
DI-04
Workstation lighting — comfort over compliance
CIBSE LG7 sets the floor (300-500 lux task). Wexley's draftsmen and trainees work long hours on detailed legal documents. Lighting must support 8-hour reading without eye strain — direct/indirect mix, low UGR, daylight integration via L4 perimeter.
LightingWellbeing
SPC-M2Captured 11 May
DI-05
Material palette — restrained, partner-grade
European oak, off-white plaster, dark navy textile, brushed brass accents. No statement colour, no trend material, no fashion-led detail. Should still feel current in 12 years (typical lease term).
MaterialsBrand
SPC-A4 / A5 / A6Captured 11 May
DI-06
L6 → L5 → L4 — visual continuity
All three floors connect via internal stair already in landlord scope. Tenant Cat-B finishes must read as the same firm on each floor. Carpet, paint, wayfinding signage and door schedule all coordinated. Not identical — varied within a controlled palette.
WayfindingContinuity
SPC-A5 / A6Captured 12 May
DI-07
Joinery as integrated infrastructure
Meeting suite joinery walls carry AV cabling, power, and acoustic treatment behind a single architectural plane. No exposed conduit, no surface-mounted screens. Cabling channels designed at spec stage, not retro-fitted on site.
IntegrationAV
SPC-A4 / X1Captured 12 May
DI-08
Wayfinding — no signage clutter
Meeting suite naming is essential (used in calendar invites). All other wayfinding integrated into architectural surfaces. No applied numbered signs, no plastic plaques. Brass-etched detail on door frames.
WayfindingBrand
SPC-A2 / A4Captured 13 May
DI-09
Reception experience — pending tenant brief
L6 reception design intent workshop scheduled Mon 19 May 2026. Output to confirm: feature wall finish, reception desk material, low-level seating, brand integration approach.

SPC-A7Workshop 19 May

9 design intent items captured; 3 pending tenant input (DI-09 reception, DI-10 AV experience, DI-11 brand colour usage). All 12 will be issued as part of the Design Intent client deliverable (NG-DI-001-Rev1) at end of Stage 02 — alongside the Project Specification.

DESIGN COORDINATION

Multi-Discipline Coordination Tracker

Specification produced in isolation produces clashes on site. The coordination tracker logs every cross-discipline issue between architectural, M&E and structural drawings — surfaced during specification and resolved before enquiries issue.

CC-01
Resolved
FCU positions vs structural beams (L5)
Clash: Three FCU positions on L5 ceiling plan (Lambourne Vance Rev B) conflict with steel beam soffit per Cat-A drawings. Original design assumed continuous plenum depth.
Resolution (8 May): FCU positions relocated by Lambourne Vance Rev C. Two FCUs moved 600mm north, one substituted for slim-line equivalent. No additional spec impact.
DISCIPLINES: M&E ↔ Architectural ↔ Structural OWNER: A. Pereira
CC-02
Resolved
Recessed lighting vs ceiling grid alignment
Clash: Lighting layout (Lambourne Vance) used 600 × 600 grid; architectural ceiling spec (Trenholme) called for 1200 × 600 plank arrangement. Fittings would land mid-tile.
Resolution (10 May): Joint coordination meeting agreed common 1200 × 600 grid. Lighting spec reissued as linear suspended in open plan, recessed in tea points to align with vinyl finish edge.
DISCIPLINES: M&E ↔ Architectural OWNER: A. Pereira
CC-03
In progress
Power floor boxes vs raised floor cavity depth
Clash: Tenant FF&E layout (Cushman) shows workstation locations requiring floor boxes. Existing raised floor cavity depth (150mm) is below the 200mm minimum required for the specified twin power + Cat6A floor box product.
Status: Two options under review — (a) substitute slim 130mm floor box (pricing requested 13 May); (b) accept localised additional pedestals at 12 positions (£3,600). Decision by 22 May.
DISCIPLINES: M&E ↔ Cat-A ↔ Tenant OWNER: A. Pereira + B. Vance
CC-04
Resolved
AV cable routing vs joinery channels
Clash: AV cable routing (early Visualis design) ran loose on joinery wall; architectural intent (DI-07) requires no exposed cabling. Joinery production needs cable channel sizes agreed pre-manufacture.
Resolution (12 May): Joinery shop drawings issued by Trenholme to AV specialist with 80 × 50mm internal cable channels at every meeting suite feature wall. Joinery enquiry (SPC-A4) issued with detail.
DISCIPLINES: AV ↔ Architectural ↔ Joinery OWNER: A. Pereira + N. Bramwell
CC-05
In progress
Acoustic ceiling vs FCU access panels
Clash: Architectural acoustic tile ceiling (Class A absorption) is incompatible with standard hinged metal access panels at FCU positions. Standard panels are reflective and break the acoustic field.
Status: Acoustic-rated access panel (Knauf Aquapanel acoustic) priced at +£8,200 across all 22 FCU positions. Alternative: cluster FCU access points and reduce panel count to 14 with same acoustic performance. Trenholme producing options paper for 21 May review.
DISCIPLINES: Acoustic ↔ M&E ↔ Architectural OWNER: G. Trenholme + H. Lambourne
CC-06
Resolved
Fire compartment line vs glazed partition
Clash: Cat-A fire strategy required 30-minute compartment line through the L6 reception area. Tenant glazed partition design did not include fire-rated glass at this position.
Resolution (14 May): Specification updated — 6 m² of glazed partition adjacent to compartment line specified as fire-rated (Pyrobel 30). +£4,800 to partition package. Restall fire engineer signed off 14 May.
DISCIPLINES: Fire ↔ Architectural OWNER: A. Pereira + D. Restall

Six clashes logged at end Wk 3 — four resolved, two in progress. Coordination meetings held weekly Tuesday 14:00 between Built AI Design Manager, Trenholme architect, Lambourne Vance M&E, and Restall (fire) when relevant. Unresolved clashes block enquiry pack issue for the affected packages.
